GoHighLevel automation

GoHighLevel (GHL) automationthat holds up in production.

GoHighLevel automation means workflows that act on leads for you. They reply to new leads, route them, send reminders, chase no-shows and ask for reviews.

Building them is the easy part. Keeping them right once real leads arrive is the hard part.

Scope Nine builds GHL workflow automation for agencies, white-label. Every build includes dedupe, failure paths and testing.

Why template snapshots break

A snapshot copies assets like workflows, funnels and emails into a client's sub-account. It can't know that client's staff, hours, offers or edge cases.

Custom values trip agencies up too. A request on GHL's ideas board asks for snapshots to copy each custom value's contents, not just its name. It had 79 votes in October 2026.

GHL's help article for its workflow template library says to adjust triggers, actions, delays and conditions, then test.

Skip that work and you get problems like these:

  • The re-entry setting is wrong, so a returning lead gets nothing, or the whole sequence again.
  • Stop on Response is off, so the drip keeps texting someone who already replied.
  • Nobody sets a time window, so texts go out at 2 a.m.
  • Lead routing overwrites the owner a rep already had.
  • Staff mark a booking No Show, GHL pulls the contact from the reminder flow, and nothing follows up.
  • A webhook step fails, and nobody hears about it.

None of this shows up in a demo. It shows up in the client's pipeline.

What we build in GHL workflows

Speed-to-lead
An instant text and email when a lead lands, plus an alert to the right rep.
Lead routing
Assignment by source, service or territory, or round robin across the team.
Nurture
Sequences that stop when the lead replies, books or pays.
Booking and no-show follow-up
Reminders before the appointment, and a separate path when staff mark it No Show.
Review requests
Requests that go out once the job is complete, not before.
Pipeline moves
Opportunities that change stage on real events: booked, showed, paid. The client's pipeline then matches what really happened.
Team handoffs
Internal alerts and tasks when a lead needs a human. GHL can create ClickUp tasks natively, as a premium action.

Automation runs inside GHL. When a workflow needs data from another tool, that's an integration. We scope both together. See GHL integrations. For wider GHL help, see our GHL expert page.

What we check in every build

In production, the boring settings decide whether a workflow works. We set each one on purpose.

  • Re-entry rules

We decide if a lead can run the workflow again. GHL always allows re-entry on appointment and invoice triggers, so we plan for it.

  • Stop on Response

Drips stop when the lead replies.

  • Time windows

Texts, emails and calls only go out in hours the client picks.

  • A goal step

A lead who books or pays jumps past the rest of the follow-up.

  • Owner rules

Where we use round robin, it only touches unassigned contacts, so reps keep their leads.

  • Dedupe

Duplicate settings that match how the client collects leads, by email or phone.

  • Failure alerts

We turn on GHL's error emails and add alerts for the steps they don't cover.

  • Deliverability

We check SPF, DKIM and DMARC on the sending domain before any email sequence goes live.

  • Test evidence

Test contacts down every branch, with execution logs to back it up.

How it works

01

Map

We write down every trigger, branch, message and owner first. Edge cases go on the list too: repeat leads, missing phone numbers, after-hours bookings.

02

Build

We build in the client's sub-account with native GHL actions first. Code only goes where native steps can't do the job. Each workflow gets one clear job and a name that says what it does.

03

Test

We run test contacts down every branch and check the execution logs. That includes replies, reschedules, no-shows and double form fills.

04

Monitor

Alerts go to a named owner. We watch the first live runs and fix what real data exposes.

05

Hand over

You get a plain-English map of each workflow that you can forward under your brand.

Straight answers

What can you automate in GHL?
Most of the lead journey: first reply, routing, nurture, booking, reminders, no-shows, reviews and pipeline stages. When a step needs data from another tool, it becomes an integration.
Are GHL snapshots and templates good enough?
They're a fair starting point. Each one still needs the client's fields, senders, time windows and rules, then real testing.
Why do GHL workflows fail silently?
Per GHL's help center, error emails are off by default and cover a set list of actions. They send at most one email per user per day. We add alerts for the steps that matter most.
How do you stop duplicate contacts and double texts?
Match the dedupe setting to how the client collects leads, by email or phone. Then set re-entry rules and a goal step, so leads who book or pay skip the follow-up.
Do you offer white-label GHL automation services?
Yes. We build inside your agency's accounts, and handover docs go out under your brand.
Can you fix workflows someone else built?
Yes. The audit shows what's broken and what it costs to fix before you commit.
What does GHL automation cost?
The audit is free. Most single-outcome work fits the Client Delivery Sprint, from $999 one-time. Ongoing work runs through the Embedded Delivery Pod, from $4,000/month.

Send one sub-account and name the workflow that worries you most. We'll show you what breaks and how to fix it.
